Understand the decision
Define the need
Specify billing name, assignment reference and allowed payment method. Separate personal and business trips when required. Avoid confidential meeting details in public pickup fields.
Obtain confirmation
For a booked transfer, identify who sells and invoices the service: platform, carrier or hotel intermediary. Ask how to receive documents and correct an address. Confirm waiting terms for late flights or meetings.
Price and documents
After travel, match date, currency, amount and tip to the charge. Keep the final document if extras were added after the first receipt. For foreign currency, use your employer’s method; do not invent a rate or tax absent from the document.
If plans change
If the receipt is missing, contact the operator with ride reference and time. Do not recreate an invoice in the carrier’s name. When two documents cover one ride, distinguish confirmation, receipt and payment to avoid duplicate expense reimbursement.

Common questions
Does sending a request guarantee a ride?
No. Wait for confirmation specifying service, date, time and conditions. An estimate or enquiry does not prove a vehicle has been assigned.
What if the conditions change?
Contact the operator through the booking channel, specify the change and request new confirmation. Keep both documents to understand any fees.
